JOB SUMMARY:

 

Clemson University's President's Office is looking for an Executive Assistant to fulfill the following duties:

  • Serves as Executive Assistant in the President's Office. 
  • Coordinates and performs complex and confidential administrative duties in the President's Office. 
  • Provides executive level support to the Senior VP, Chief of Staff, and Assistant to the President for Community Outreach and Engagement. 
  • Other duties as assigned.

JOB DUTIES:

 

35% - Essential - Assistant to Senior VP and Chief of Staff: 
Create operational efficiencies for the Chief of staff by anticipating needs and taking ownership of planning and executing activities. Manages and maintains the Chief of Staff's complex schedule using judgment in prioritizing meeting requests to align with the Clemson University strategic plan, including executive level communications with internal and external stakeholders. Coordinate calendar requests, initiate meeting invites, provide materials and attachments for meetings. Prepares agendas, transcribe minutes and prepare and distribute reports for meetings hosted by the Chief of Staff.  Coordinate the search activities as needed for new administration hires, working with OHR. Coordinate travel arrangements (hotel, airplane, arrange conference event details, etc.); Collect and organize reimbursements and enter in Concur. Ensure advanced preparation for all of the Chief of Staff's engagements in coordination with the President's Executive Assistant.
30% - Essential - Assistant to the President for Community Outreach and Engagement: 
Maintain and manage complex schedule prioritizing meeting requests; Coordinate calendar requests with internal and external stakeholders, initiate meeting invites, provide materials and attachments for meetings; assist in coordinating Clemson attendees at community events; Prepares agendas, transcribe minutes and prepare and distribute  reports for meetings hosted by the Assistant to the President. Coordinate travel arrangements (hotel, airplane, arrange conference event details, etc.); Collect and organize reimbursements and enter in Concur. Ensure advanced preparation upcoming engagements through contact.
25% - Essential - Administrative Support: 
Provides confidential administrative support to the Office of the President. Collaborates with Director of Operations to organize and maintain files in digital and print formats. Processed accounting transactions including payables, reimbursements and invoices utilizing Cherwell. Provides assistance to other office staff members to ensure tasks are completed in a timely and efficient manner. Serves as back up to other executive assistants/office staff as well as assist with administrative tasks as assigned.
15% - Essential - Student Worker Supervision: 
Work closely with OHR to hire student assistants including ensuring proper documentation is provided upon hiring. Provide direct supervision of at least four undergraduate student workers. Including developing weekly work schedule and providing feedback on performance.

Education -  Bachelor's Degree

COMPENSATION INFORMATION

 

Band: 06 ($ 46,655.00 - $ 65,000.00)
 

Salary is dependent upon several factors including, but not limited to, a candidate's previous experience, knowledge, skills and performance in accordance with Clemson's compensation guidelines.

ESSENTIAL PERSONNEL LEVEL

 

Normal Operations
Required to follow emergency facility closure directives, and not normally expected work on-site during emergency situations.
